Accounting & Purchasing Coordinator
Copia Scientific is seeking an experienced Customer Operations & Purchasing Coordinator to support customer service, purchasing, and accounting functions at our Taunton, MA office. This is a full-time, in-office position and requires someone local who can be relied on to keep orders, purchasing, and back-office operations running smoothly.
This role is best suited for someone who has already worked in an operations-heavy environment and understands the importance of accuracy, follow-through, and clear communication.
What You’ll Do
Accounting & Administrative Support
- Assist the accounting team with invoice processing and PO-to-invoice matching
- Support accounts payable and accounts receivable activities
- Maintain accurate records for audits and financial reviews
- Assist with month-end and year-end administrative tasks as needed
Customer Service & Order Support
- Act as a primary point of contact for customers regarding order status, shipping updates, and routine inquiries
- Accurately enter and manage sales orders, service orders, and RMAs in the ERP system
- Coordinate with Sales, Service, and Operations teams to meet customer commitments
- Prepare and send order confirmations, invoices, and shipping documentation
- Resolve routine customer issues efficiently and professionally
Purchasing & Vendor Coordination
- Create and manage purchase orders for equipment, parts, and consumables
- Communicate with vendors to confirm pricing, lead times, and delivery schedules
- Track inbound shipments and follow up on delays or discrepancies
- Maintain organized vendor and purchasing records
- Support inventory coordination and backorder resolution
What We’re Looking For
- 3–5+ years of experience in customer service, operations, purchasing, or administrative support
- Strong attention to detail—accuracy matters
- Strong communication skills
- Experience working with ERP systems (Odoo is a plus, not required)
- Comfortable managing multiple priorities without constant supervision
- Clear written and verbal communication skills
- Proficient in Microsoft Office (Excel, Outlook, Word)
- College degree in Business or Finance
Preferred Background
- Experience in life sciences, lab equipment, manufacturing, or distribution environments
- Familiarity with purchasing workflows and vendor management
- Basic understanding of accounting processes (AP/AR)
